{"id":154,"date":"2017-08-07T20:21:23","date_gmt":"2017-08-07T20:21:23","guid":{"rendered":"http:\/\/help.zoomgrants.com\/?post_type=ht_kb&#038;p=154"},"modified":"2020-06-26T09:32:52","modified_gmt":"2020-06-26T15:32:52","slug":"pre-application","status":"publish","type":"ht_kb","link":"https:\/\/help.zoomgrants.com\/index.php\/zgu\/pre-application\/","title":{"rendered":"Pre-Application"},"content":{"rendered":"<div id=\"preapp\">\n<div class=\"abstract\">The Pre-Application feature is a handy tool if you want to manually pre-screen applicants to allow only those who meet your requirements to submit a full application.<\/div>\n<div><\/div>\n<\/div>\n<div id=\"preapp\">\n<h2>How It Works<\/h2>\n<p><span style=\"background-color: #bc6d1a; color: #ffffff;\">Program Setup &gt; Pre-Application Tab<\/span><\/p>\n<h3>The Pre-App tab can be submitted for review prior to the completion of the full application.<\/h3>\n<p>If the Pre-Application (Pre-App) tab is turned on and is required in a program, applicants will create their applications and start by filling out just the first two tabs &#8211; the Application Summary and Pre-App. In those tabs, they&#8217;ll provide basic contact and organization information, answer any pre-app questions that you have posed, and upload documents as requested. After they&#8217;ve fulfilled those requirements, they then submit those sections for review by an administrator.<\/p>\n<h3>An administrator reviews and approves or declines the pre-app.<\/h3>\n<p>The Pre-Application Admin Contact (set in <strong>Program Setup<\/strong>, in the <strong>Pre-Application <\/strong>tab) will receive an email notification when pre-apps are received. They can go into each application, click into the Pre-Application tab and review the submitted information. <strong>Use the Pre-Application Status dropdown at the top of the tab to mark each one approved or declined. <\/strong><\/p>\n<p><img fetchpriority=\"high\" decoding=\"async\" class=\"aligncenter size-large\" src=\"https:\/\/zoomgrants.com\/screenshots\/dpreappstatus.png\" width=\"1446\" height=\"362\" \/><\/p>\n    \t\t<div class=\"hts-messages hts-messages--alert    \"   >\r\n    \t\t\t    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\tAs soon as an admin chooses &#8220;approved&#8221; or &#8220;declined&#8221; in the Pre-App tab,\u00a0an <strong>email\u00a0notice<\/strong> will automatically be sent to\u00a0the applicant, notifying them of that\u00a0decision.    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t\n<p>If the pre-app is\u00a0<strong>approved<\/strong>, the rest of that application can be completed and submitted.<\/p>\n<p>If the pre-app is\u00a0<strong>declined<\/strong>, that application cannot be completed or submitted.<\/p>\n<p>To maintain the integrity of the Pre-App, the answers cannot be edited by the applicant once it has been approved or declined. If the applicant needs to make changes and re-submit the Pre-App, change the status to undecided, then click the <strong>Un-Submit<\/strong> button next to the Pre-Application Status at the top of that tab to return the pre-app to the application for editing. The applicant can edit the content in that tab, then re-submit it.<\/p>\n<h3>Each application has a separate pre-app.<\/h3>\n<p>There is a Pre-Application tab in each application. If your process requires that all applicants submit a pre-app in <em>every<\/em> application, you can allow the applicant to complete and submit the pre-app section in all of the applications that they have started. If your process only requires one of an applicant&#8217;s pre-applications to be submitted for approval, you can go into each of the other applications started by that applicant and approve the pre-application in those additional ones without them needing to even submit that section. Just open up the application(s) in your admin account, click into the Pre-Application tab, and choose &#8220;approved&#8221; in the status dropdown in each or do a <a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/batch-list-updates\/\">list update<\/a> to input those pre-app decisions even quicker! In this way, you can approve multiple pre-applications without the applicant needing to submit them.<\/p>\n<h2>How To Set It Up<\/h2>\n<p><span style=\"background-color: #bc6d1a; color: #ffffff;\">Program Setup &gt; Settings Tab &gt; <em>Additional Program Modules<\/em> &gt;&gt; Pre-Application Tab<\/span><\/p>\n<ol>\n<li><strong>In the Program Setup, click into the <a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/settings\/\">Settings<\/a> tab.<\/strong><\/li>\n<li><strong>Turn the Pre-Application module &#8216;on&#8217;.<\/strong><\/li>\n<li><strong>Click into the Pre-Application tab.<\/strong><\/li>\n<li><strong>Give the tab a <a title=\"Tab Label\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/tab-labels\/\">label<\/a><\/strong>.<\/li>\n<li><strong>Set a deadline\u00a0<\/strong>(if applicable).\u00a0If you want to set a deadline for submittal of the pre-app, enter a date in the deadline field. This deadline is not tied to the overall program deadline, so remember to update it if you update your program deadline (if necessary).\n<ul>\n<li>If you DO set a deadline, any applicants who create applications <em>after<\/em> the pre-app deadline will not be able to complete the rest of the application, because they can\u2019t submit the pre-app.<\/li>\n<li>If you DO NOT enter a deadline, applicants will be able to submit their\u00a0pre-apps up until the program closes. This is the default setting.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Choose your custom settings<\/strong>:\n<ul>\n<li><strong>Require Pre-Application Complete<\/strong> \u2013 Applicants are normally required to fill out every question in the pre-app before it can be submitted, but you can choose &#8220;No&#8221; in this setting to waive that requirement to allow applicants to skip questions or submit a completely empty pre-app.<\/li>\n<li><strong>Automatically Approve Pre-Application<\/strong> \u2013 If the pre-app content is completely optional and doesn\u2019t need to be used to vet applicants, this feature submits and marks every pre-app approved as soon as the application is first created, allowing applicants to move on to complete the rest of the application without needing permission from an admin. They\u00a0<em>can\u00a0<\/em>complete the pre-app but are not required to.<br \/>\n    \t\t<div class=\"hts-messages hts-messages--alert  hts-messages--withtitle  \"   >\r\n    \t\t\t<span class=\"hts-messages__title\">Using Auto-Approve will Override Other Pre-App Settings<\/span>    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\tTurning Auto-Approve \u2018on\u2019 <strong>overrides<\/strong> the <strong>Require Pre-Application Complete<\/strong> and <strong>Pre-Application Deadline<\/strong> settings.    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t    \t\t<div class=\"hts-messages hts-messages--danger  hts-messages--withtitle  \"   >\r\n    \t\t\t<span class=\"hts-messages__title\">Turning on Auto-Approve During the Application Period<\/span>    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\t<strong>This setting is not retroactive.<\/strong> If you choose to turn this feature on midstream, you&#8217;ll still need to approve the pre-applications in the applications that were created before you turned it on. This does NOT automatically mark all pre-apps approved.    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t<\/li>\n<\/ul>\n<\/li>\n<li><strong>Add your instructions\u00a0<\/strong>for the Pre-App tab.<\/li>\n<li><strong>Set up your question content<\/strong> (skip the Section Titles and Branching Question features, for now). Click the <a title=\"Add a Question\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/adding-editing-questions\/\">Add a Question<\/a> button at the bottom of the tab to create new questions.<img decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.zoomgrants.com\/screenshots\/daddaq.png\" alt=\"Add a Question Button\" width=\"150px\" height=\"auto\" \/><\/li>\n<li><strong>Add Document Requests<\/strong>\u00a0if you want your applicants to upload or link documents to their pre-application. You&#8217;ll <a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/documents\/#create-document-requests\">add the requests<\/a> at the bottom of the Pre-Application tab, in the same location that they will appear in the application\u00a0itself. Use the <a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/applicant-view\/\">Applicant View<\/a>\u00a0to verify the location.<\/li>\n<li><strong>Add <a title=\"Section Titles\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/section-titles\/\">Section Titles<\/a><\/strong> and a <strong><a title=\"Branching Question\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/branching-question\/\">Branching Question<\/a><\/strong>, if applicable, once you\u2019ve entered all of your Pre-App questions.<img decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.zoomgrants.com\/screenshots\/dsectiontitlesbranchingq.png\" alt=\"Section Titles &amp; Branching Question Setup\" width=\"747\" height=\"357\" \/><\/li>\n<li><strong>Use the <a title=\"Applicant View\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/applicant-view\/\">Applicant View<\/a> to check your work.<\/strong><\/li>\n<\/ol>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.zoomgrants.com\/screenshots\/dapplicantview.png\" alt=\"Applicant View Button\" width=\"188\" height=\"69\" \/><\/p>\n<\/div>\n<h2>Troubleshooting<\/h2>\n<h3>Applicants are able to submit an incomplete Pre-Application.<\/h3>\n<p>Check the &#8220;<strong>Require Pre-Application Complete<\/strong>&#8221; setting in Program Setup, in the Pre-Application tab. If set to &#8220;No&#8221;, applicants can submit their Pre-Application even if they have not answered all of the questions.<\/p>\n<p>Also, check the &#8220;<strong>Automatically Approve Pre-Application<\/strong>&#8221; setting in the same Program Setup tab. If set to &#8220;Yes&#8221;, the Pre-Application becomes an\u00a0<em>optional\u00a0<\/em>component, as all Pre-Apps are <span style=\"text-decoration: underline;\">automatically approved<\/span> as soon as the application is created, thus bypassing the requirement to complete and submit the Pre-App.<\/p>\n<h3>Applicant is unable to see the approved pre-application.<\/h3>\n<p>Sometimes, if applicants have created more than one application, they may not realize that an approval in one Pre-Application does not mean that all of their Pre-Applications are approved.<\/p>\n<p>The best way to make sure that you and the applicant are on the same page (literally) is to refer to the five digit\u00a0<strong>application ID\u00a0<\/strong><strong>number\u00a0<\/strong>at the bottom of any tab of the application. If you&#8217;re on the phone with the applicant, you can tell them that number and ask that they check their own application. If the numbers match and they\u00a0<em>still\u00a0<\/em>don&#8217;t see the Pre-Application as approved, ask them to refresh. If that doesn&#8217;t work, <a href=\"mailto:adminquestions@zoomgrants.com\">contact our tech support folks (adminquestions@zoomgrants.com)<\/a>. If the numbers don&#8217;t match, they&#8217;re looking at the wrong application. Have them refer to this help article for more information:\u00a0<a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/finding-your-applications\/\">Finding Your Applications<\/a>.<\/p>\n<h3>Applicant only needs to have one approved pre-application for multiple applications.<\/h3>\n<p>Currently, if set up, the requirement to submit a pre-application applies to <strong>all<\/strong> applications that are created, regardless of whether an organization has already submitted one pre-application that has been approved.<\/p>\n<p>As an administrator, you do have the ability to approve the pre-application portion of an application without the applicant submitting it. Simply click into that tab in the incomplete application and choose &#8220;Approved&#8221; in the Pre-Application Status setting. The applicant will then be able to complete the rest of the application without needing to complete or submit the pre-app.<\/p>\n<p>Alternatively, you can use the auto-approve and require complete settings to turn off the requirement for the pre-application or allow applicants to submit incomplete pre-applications that can then be approved without being filled out.<\/p>\n<p>Want to talk it over with a ZoomGrants support person?
