{"id":200,"date":"2017-08-07T20:55:21","date_gmt":"2017-08-07T20:55:21","guid":{"rendered":"http:\/\/help.zoomgrants.com\/?post_type=ht_kb&#038;p=200"},"modified":"2023-04-25T07:45:52","modified_gmt":"2023-04-25T13:45:52","slug":"activity-log","status":"publish","type":"ht_kb","link":"https:\/\/help.zoomgrants.com\/index.php\/zgu\/activity-log\/","title":{"rendered":"Activity Log"},"content":{"rendered":"<div class=\"abstract\">The <strong>Activity Log<\/strong> in each application keeps track of the major activities in that app. The <strong>Audit Log<\/strong> in each app keeps track of changes in application fields.<\/div>\n<div>\n<h2>How It Works<\/h2>\n<h4>Automatic Activity Tracking<\/h4>\n<p>The <strong>Activity Log<\/strong> in each application automatically keeps a time- and date-stamped record of significant activities in that app, some including:<\/p>\n<ul>\n<li><a title=\"Pre-Application\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/pre-application\/\">Pre-App<\/a> submittal,<\/li>\n<li>Changes in the Pre-App status<\/li>\n<li><a title=\"Send Email\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/sending-emails-to-applicants-and-reviewers\/\">Email<\/a> communications sent via ZoomGrants<\/li>\n<li>Application submittal<\/li>\n<li><a title=\"Reports\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/reporting\/\">Report<\/a> submittal<\/li>\n<li><a title=\"Decisions\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/decisions-voting\/\">Official Decision<\/a> changes&nbsp;<em>(indicating that the Official Decision was&nbsp;<\/em><i>changed, but not what it was changed&nbsp;<strong>to<\/strong>)<\/i><\/li>\n<li><a title=\"Custom Status\" href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/data-tab-custom-reports\/\">Custom Status<\/a> modifications<\/li>\n<\/ul>\n<p>The&nbsp;<strong>Audit Log<\/strong> keeps a much more detailed (though not exhaustive) log of activities in certain fields in the application, including answers to individual questions and budget entries and updates to major application settings. The Audit Log is not visible to applicants.<\/p>\n<div><\/div>\n<\/div>\n<h4>Manual Activity Request &amp; Completion Tracking<\/h4>\n<div>\n<p>The <strong>Activity Log<\/strong> can also be used to manually track activity requests and completions on the admin and applicant sides, as well as manually flag applications that require an action by either party.<\/p>\n<h3>Finding the Activity &amp; Audit Logs<\/h3>\n<p>Admins access the Activity and Audit Logs by clicking into the <strong>Internal Management<\/strong> tab of any application and scrolling down the page &#8211; the Activity Log is displayed at the bottom of that tab (highlighted in <span style=\"color: #ff0000;\">red box<\/span>). If the tab does not appear, then the admin has chosen to hide that feature in that program. This does&nbsp;not&nbsp;send a notification email.\t    \t\t\t\t\t<\/div>\r\n\t    \t\t\t\t<\/div>\r\n    \t\t\t\t<\/div>\r\n    \t\t\t    \t\t\t\t<div class=\"hts-accordion__section \">\r\n\t    \t\t\t\t<div class=\"hts-accordion__title\">Other<\/div>\r\n\t    \t\t\t\t<div class=\"hts-accordion__content\">\r\n\t    \t\t\t\t\t<div class=\"hts-accordion__contentwrap\">\r\n\t    \t\t\t\t\t\tThis allows a user to add a note to the log (perhaps detailing a conversation) without requesting or completing an action.\t    \t\t\t\t\t<\/div>\r\n\t    \t\t\t\t<\/div>\r\n    \t\t\t\t<\/div>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-accordion -->\r\n    \t\t<\/li>\n<li>Enter the<strong> description text<\/strong>.<\/li>\n<li>Click the<strong> Add Activity Entry&nbsp;<\/strong>button to add the entry. You&#8217;ll see a confirmation message and may need to refresh the page to see the entry added at the bottom of the log.<\/li>\n<\/ol>\n<p>For example, an administrator could use the form at the bottom of the Activity Log to ask that the applicant answer one of the follow up questions that have been added to the <strong><a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/extra-tab\/\">Extra<\/a><\/strong> tab in their application.&nbsp;Similarly, applicants can also request administrator (grant maker) actions if, say, they have uploaded a new version of a file that they&#8217;d like reviewed or have finished updating a submitted application that an admin has opened for editing.<\/p>\n<\/div>\n<div>\n<h3>Removing a Flag from an Application<\/h3>\n<p>If an application has been flagged, that indicates that an action has been requested. Check the Activity Log to see what the flag indicates. To remove a flag on your end, add an entry and select the action completed radio button. You may need to refresh the page after adding the entry to see that the application flag has been removed.<\/p>\n<p>For admins, if the action requested pertains to the recent submittal of the pre-app, making a pre-app decision on the flagged application will remove that flag automatically.<\/p>\n<\/div>\n<h3>Hiding the Activity Log Tab<\/h3>\n<p><span style=\"background-color: #bc6d1a; color: #ffffff;\">Program Setup &gt; Settings Tab &gt; <em>General Applicant Settings<\/em><\/span><\/p>\n    \t\t<div class=\"hts-tabs \"  >\r\n    \t\t\t<ul class=\"hts-tabs__nav\" role=\"tablist\">\r\n    \t\t\t\t    \t\t\t\t\t<li data-tab=\"#tabs-1\" class=\"hts-tabs__tab hts-tabs__tab--active\" role=\"tab\">Settings Tab<\/li>\r\n    \t\t\t\t    \t\t\t<\/ul>\r\n    \t\t\t    \t\t\t\t<div id=\"tabs-1\" class=\"hts-tabs__content hts-tabs__content--active\" role=\"tabpanel\">\r\n    \t\t\t\t\t<div class=\"hts-tabs__contentwrap\">\r\n    \t\t\t\t\t\t<p>You can <strong>hide the Activity Log tab from applicants<\/strong> by choosing that setting in the<a href=\"http:\/\/help.zoomgrants.com\/index.php\/zgu\/settings\/\"><b> Settings<\/b><\/a>&nbsp;tab in Program Setup.<\/p>\r\n    \t\t\t\t\t<\/div>\r\n    \t\t\t\t<\/div><!-- \/tabs-1 -->\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-tabs -->\r\n    \t\t\n","protected":false},"excerpt":{"rendered":"<p>The Activity Log in each application keeps track of the major activities in that app. The Audit Log in each app keeps track of changes in application fields.
