Introduction

ZoomGrants introduces the PDF Generator, a powerful feature designed to streamline the document creation process for administrative users. This tool empowers administrators to generate PDF documents directly within ZoomGrants, offering a convenient and efficient solution for creating tailored documents for applicants. With the added capability to include merge fields from applications, the PDF Generator enhances the customization and personalization of generated documents.

How to Set It Up

Program Setup – Settings tab – PDF Generator

To begin using the PDF Generator, administrators should follow these simple steps:

PDF Generator Tab/Section Label

Create a unique name for the PDF Generator. This label serves as reference for other administrative users, making it easy to identify and locate the specific PDF Generator within ZoomGrants.

PDF Generator Instructions

Add any internal instructions that you or other administrators may need. These instructions can provide guidance on the intended use of the PDF Generator, ensuring a smooth and consistent document creation process.

PDF Generator Text

Utilize the ZoomGrants editor tool to create a template of text that will populate in each individual submitted application. Similar to the Contract feature, Merge Fields can be incorporated to pull data from each application into the PDF you create.

How it Works

Once you’ve created a ZoomGrants PDF template, follow these steps to generate PDFs for individual applications:

Access the Program Dashboard

Log in to your ZoomGrants account and navigate to the Program Dashboard. This serves as the central hub for managing applications and program-related activities.

Click the Submitted Applications Tab

In the Program Dashboard, locate and click on the “Submitted Applications” tab. This tab provides an overview of all applications that have been submitted for your program.

Select the Application

From the list of submitted applications, click on the title of the specific application for which you wish to generate a PDF. This action will take you to the detailed view of the chosen application.

Access the PDF Generator (or Custom-Named Tab)

Once within the individual application, navigate to the designated tab, which may be labeled as “PDF Generator” or a custom name you assigned during the setup.

Edit Text for the Individual Application

Within the PDF Generator or custom-named tab, you have the option to make any necessary edits to the text for the individual application. This allows for customization of the document content to address specific details or requirements related to the selected application.

Click the Generate Button

After making the desired edits, click the “Generate” button. This action triggers the PDF Generator to compile the template text, including any merge fields, and download the PDF to your computer.

Note: If utilizing Merge Fields, the PDF generated will reflect the unique information from the selected application, ensuring that each document is tailored to the specific details provided by the applicant.
