Adding & Editing Questions

Administrators can fully customize their program by adding questions across thre key areas:

These sections allow you to collect the information you need from applicants and grantees.

How It Works

To create questions:

1. Navigate to Program Setup
2. Select the desired tab (Pre-Application, Application Questions, or Report)
3. Click Add a Question

From there, you can define the question type and content.

Question Types

ZoomGrants offers a variety of question types, grouped into two main categories:

Short Answer Questions

Single Line

  • Text field for short responses
  • 255 character response limit

Multiple Choice (Radio Button)

  • Select one option from a list

Optional Modifications:

    • Add “Other:” to include a fillable response
    • Add “Explain:” to prompt a follow-up text field (e.g., “Yes, please explain:”)

Checkboxes

  • Select one or more options

Optional Modifications:

    • Add “Other:” to include a fillable response
    • Add “Explain:” to prompt a follow-up text field (e.g., “Yes, please explain:”)

Table-Style (Stacked Fields)

  • Designed for numeric input
  • 10 character limit per field
  • Automatically totals all entries for admin use

Best Use: Demographics or grouped numeric data.

Avoid: mixing unrelated values, as this can cause confusion due to automatic totals.
 

Long Answer Questions

Paragraph

  • Designed for detailed responses
  • Custom character limit (up to 65,000 characters, including spaces)
  • The default character limit can be edited via the Settings tab of Program Setup

Formatting Considerations

While the Program Setup page does support HTML formatting from an administrator’s perspective, this formatting is not carried over to the applicant-facing experience.

When applicants access the form (or via the Applicant View), all question and response fields are intentionally rendered as plain text.

This behavior is by design and serves several important purposes:

  • Ensures a consistent experience across different devices and browsers
  • Prevents display issues caused by unsupported or inconsistent formatting
  • Protects against potential security risks associated with rendering HTML content

As a result, ZoomGrants keeps question text simple.

Organizing Your Questions

Questions should be added in the order you want them to appear. Additionally, within each tab, you can structure your application using:

Section Titles to group related questions.

Branching Questions to create conditional logic.

Question Limits

To maintain performance and usability, each tab has limits:

Note: The Financial tab includes fixed paragraph fields in positions 6-10.

If you reach a limit, consider combining or simplifying your questions.  Additional questions cannot be added beyond the program limit.

How to Add a Question

  1. Click Add a Question
  2. Enter your Question Text
  3. (Optional) Add Additional Information
    This appears in italics below the question.
  4. Select a Question Type
  5. Configure options (if applicable):
    • Multiple choice, checkbox, and table questions require predefined options
    • Paragraph questions allow custom character limits
  6. Click Save This Question

Use Applicant View to preview how your questions will appear.

Note: Auto-save does not apply to questions. You must click Save This Question to keep your changes.

Editing Questions

BEFORE EDITING: If your program is already receiving applications or reports, editing questions will affect the existing data.

If you are unsure of the implications of your edits, please contact ZoomGrants support before making any changes.

Steps to Edit

  1. Click Edit next to the question
  2. Update the text or question type
  3. Click Save This Question

Question types should not be edited if the related tab has begun accepting responses.

Deleting Questions

To remove a question:

  1. Click Edit
  2. Clear the question text field and any additional information
  3. Click Save This Question

The question will be removed, and the remaining questions will automatically renumber after refresh.

Questions should not be deleted if the related tab has begun accepting responses.

Reordering Questions

To reorder questions: 

Our support team will rearrange them for you.

Questions cannot be reordered if the related tab has begun accepting responses.

Troubleshooting

Questions Won’t Save

If a question isn’t saving: 

  • Make sure all required fields are completed
  • Confirm a question type is selected
  • Ensure you clicked Save This Question (auto-save does not apply)
